Booking Terms and Conditions
1)Bookings
a) All prices quoted by The AGTC are in Australian Dollars and are inclusive of Goods & Services Tax (GST).
b)
To make a booking either fill in our on-line booking enquiry form and a
member of our team will contact you or alternatively telephone our
office direct.
c) Please ensure correct spelling of the full names
of all members of your travelling party, as per the traveller's
passport, driver's license or photographic identification.
d)
Amendment necessitated by typographical errors will incur fees to be
paid by the traveller, and incorrect spelling may cause travellers to
be refused permission to board on airline carriers.
e) All reservations are subject to availability at the time of booking and will be confirmed upon receipt of deposit.
f) Verbal quotes are only an estimate of the package price and may differ at the time of booking.
g)
Prices may vary due to third party suppliers increasing costs, taxes
etc. prior to final payment price rises shall be the responsibility of
the traveller. The AGTC will cover these additional charges if the
traveller has paid for their package in full.
h) On all bookings
where more than one traveller is travelling the person making the
booking on behalf of his/her travelling companions will be deemed to
have accepted the booking terms and conditions on behalf of all his/her
travelling companions as his/her authorised agent.
2) Schedule of Payments
a)
We require a minimum $1000.00 deposit on all tours per person upon
reservation - if packages require greater deposits, the traveller will
be informed at the time of booking.
b) Balance of payment is due 90
days prior to departure unless otherwise specified. Travel
documentation (including tickets) will not be issued prior to clearance
of full payment.
c) The AGTC accept the following forms of payment:
I. Cash, EFTPOS (if paying in person) or Direct Deposit
II. Cheque - made payable to The Australian Group Travel Company
III. Visa, MasterCard
d) Credit Card Surcharge. Credit card payments will incur a 1.5% surcharge of the total package price per person.
e)
A signed credit card authorisation form is required from all clients
making payment via telephone or email prior to the release of travel
documentation.
3)Cancellation and Refunds
a) All deposits are non-refundable.
b) All cancellations must be made in writing.
c)
All cancellations received 45 days or more prior to travel departure:
deposit and 50% of tour cost per person is non-refundable.
d) All cancellations received within 45 days of travel departure: totally non-refundable unless otherwise agreed in advance.
e)
The above cancellation fees are in addition to any cancellation fees
which may be levied by third party suppliers, which are the
responsibility of the cancelling traveller.
f) In the event of
cancellation or postponement (by the event promoter or any other
organisation) of an event, The AGTC will not be responsible for the
cancellation of the event, nor can The AGTC guarantee any refund.
Travel Insurance is recommended to cover you for such loss.
g) The
AGTC, its agents, assigns and employees reserve the right either before
or during the tour to refuse to carry or accommodate any client who it
reasonably considers, in the best interests of all participants in the
tour, to be unsuitable for any reason. Such excluded persons are not
entitled to any refund.
h). Refunds will not be made for unused
accommodation, meals, sightseeing tours, transfers, or any other
services which are included in the tour cost but not utilized by the
traveller.
4)Amendments
a) Any changes to bookings will incur an AGTC fee of $50.00 per booking to be changed.
b) Additional fees incurred from our third party suppliers will also be added to establish your total amendment charges.
c) When amending air tickets, The AGTC will be guided and bound by the terms and conditions as specified by the airline.
d)
Tour fares are based on air fares and exchange rates current at the
date of printing. Any air fare increases applicable prior to departure
must be borne by the traveller(s). In the event of currency
fluctuations or necessary amendments to the itinerary, the tour cost
will be adjusted accordingly, and the additional cost, if any, must be
paid by the traveller(s). Should these changes reduce the total tour
cost, the applicable refund will be made.
5)Flights
a) All travellers are required to present photographic identification at check-in.
b)
Most airlines require travellers to check-in approximately 120 minutes
prior to departure. The airline has the right to refuse boarding to
travellers who do not check-in within the required check-in period. It
is the traveller's responsibility to determine check-in times and
ensure check-in at the appropriate time.
c) All international travel
requires a minimum of 6 months validity on passports and it is the
traveller's responsibility to ensure currency of their passport.
d) It is solely the traveller's responsibility to arrange all necessary visas and permits.
6)Additional Taxes and Charges
a).
All pre payable airport taxes and charges are not included in the tour
price. In some cases, airports levy an additional fee on departure and
this charge is not the sole responsibility of the traveller.
b)
Hotels and service providers will also often add service fees and
charges to accounts of a personal nature, which are the responsibility
solely of the traveller.
7)Insurance
a) The AGTC strongly recommends the traveller obtain travel insurance to protect against unforeseen circumstances.
b)
The procurement of travel insurance is the sole responsibility of the
traveller, and The AGTC takes no responsibility for any ramifications
of a failure to do so.
c) All insurance policies are subject to
terms, conditions and exclusions. Please carefully read and retain the
policy in a safe place. If you have any questions contact our office.
8) Tour Inclusions
a)
It is the traveller's sole responsibility at the time of making the
booking, to confirm which components are included in the package or
tour purchased.
b) The AGTC takes no responsibility for any failure by the traveller to confirm inclusions.
9) Tour Exclusions
Charges
for passports, visas, meals not specified in the itineraries,
beverages, laundry, excess baggage charges, items of a personal nature,
vaccinations and inoculations, expenses for guides and transportation
not included in the itineraries, insurance cover.
10) Privacy Policy
a) The AGTC is the sole owner of all information collected by The AGTC.
b)
The AGTC collects certain personally identifiable information from tour
coordinators and travellers for the purpose of providing our service.
c)
To provide our service we may be obligated to disclose that information
to third parties such as airlines, tour coordinators and accommodation
providers. We will not disclose personal information unless it is
necessary to procure a service on your behalf.
d) In order to
provide our service and receive payment for that service, we may
request certain personally identifiable information from you. You must
provide accurate contact information (such as name and residential
address) and may also have to provide financial information (such as
credit card number, expiration date).
e) Providing incorrect
information may lead to inability to provide our service, and may lead
to criminal charges in some jurisdictions.
f) We will not collect sensitive information about you from anyone else without your consent.
g)
Individuals at all times retain the right to access their personally
identifiable information to ensure its accuracy. If you wish to ensure
the accuracy of such information, wish to change the details given, or
wish The AGTC to delete information, you may contact The AGTC with your
request.
h) The AGTC has a commitment to protecting the privacy of
its customers. We employ practices and safeguards to ensure the
accuracy and security of personal information. If you have any concerns
about privacy please contact The AGTC.
11) Child Protection
The
tour coordinator warrants that all persons having direct contact with
any children travellers taking part in the tour have satisfied all
State and Federal statutory requirements applicable to child protection
including but not limited to being certified as suitable persons
following a Working with Children Check. This is an essential term of
this Agreement and any breach of this term by the tour coordinator or
other persons associated with the tour coordinator on the tour will
entitle The AGTC to terminate this Agreement, retain any monies paid
and pursue such other remedies that may be available to The AGTC for
recovery of damages as a consequence of the breach.
12) Disclaimer
a)
The AGTC is acting as intermediary and agent for suppliers in selling
services, or in accepting reservations or booking for services which
are not directly supplied by The AGTC such as airline tickets, hotel
accommodations, event tickets, ground transportation, meals, tours and
cruises.
b) The AGTC is not responsible for any breach of contract
or intentional or careless actions or omissions on the part of third
party suppliers which result in any loss, damage, delay or injury to
you or your travel companions or group members.
c) The AGTC shall
not be responsible for any injuries, damages or losses caused to any
traveller in connection with terrorist activities, war, insurrection,
social or labour unrest, mechanical or construction difficulties,
diseases, local laws, climactic conditions, abnormal conditions or
developments or any other action, omissions or conditions outside the
coverage against them.
d) Your retention of tickets, vouchers or
booking after issuance shall constitute consent to the above and an
agreement on your part to convey the contents here to your travel
companions or group members.
e) The traveller, by engaging The AGTC
and making deposit and/ or full payment for the package arrangement
specified, acknowledges the position of The AGTC as stipulated by the
foregoing and agrees to hold the company blameless in making the
arrangements on the traveller's behalf, provided same shall be made
through generally acceptable suppliers at the time of engagement, and
further agrees that restitution of damages, if any are claimed, shall
be sought directly from the suppliers.
f) The traveller also agrees
to the terms and conditions of the tour and services as set forth by
the suppliers. Rates are subject to changes without notice. Tours and
event tickets are subject to availability. Payment of deposit or full
payment shall constitute consent of all provisions stated herein.
